Keeping Multichannel Inventory in Sync: Shopware, Amazon & eBay

2 min read

Anyone selling across multiple channels – your own shop, Amazon, eBay, perhaps one more marketplace on top – knows the problem: your stock levels are never accurate everywhere at the same time. This article explains why that happens and how a central inventory management system solves it.

Why stock levels drift apart

Every sales channel keeps its own stock counter. When an item sells on Amazon, eBay initially knows nothing about it. Without synchronization, two costly errors arise:

  • Overselling: An item is sold multiple times even though it is only in stock once – resulting in cancellations, frustrated customers, and poor reviews.
  • Artificial scarcity: Out of caution, buffers are maintained, so that sellable goods sit unused.

Manually updating across multiple back ends is error-prone and does not scale.

The solution: a single source of inventory truth

The key is a central inventory management system as the “single source of truth”. All channels draw their stock from the same system, and every stock change – regardless of which channel it comes through – is booked centrally.

In practice, this means:

  1. One product catalog for all channels, ideally one entry per item (e.g. per EAN), regardless of how many suppliers it is sourced from.
  2. Automatic synchronization of stock levels at short intervals instead of manual updates.
  3. Centralized order processing, so that every sale immediately reduces the total stock.

Adding dropshipping to the mix

If part of the assortment is handled via dropshipping, another source of inventory comes into play: the suppliers. Their availability, too, must be reconciled regularly, so that no undeliverable item is sold.

VertooERP maps both in a single system: the inventory management uses a unified product catalog (one product per EAN, with any number of suppliers behind it), and the dropshipping module synchronizes stock from BigBuy, DropXL, and JTL-Wawi every 15 minutes. The Shopware 6 integration keeps your own shop automatically up to date.

What you should watch out for

  • Sync interval: The shorter, the lower the risk of overselling. A 15-minute cadence is a good rule of thumb.
  • Unambiguous item mapping: Without a clean EAN/SKU structure, every synchronization comes to nothing.
  • Error handling: What happens when a supplier does not respond? A good system falls back to the next source instead of incorrectly reporting the item as available.

Conclusion

Inventory chaos in multichannel commerce is not inevitable but a consequence of missing centralization. An inventory management system serving as the central source of stock, with automatic synchronization across all channels – including dropshipping suppliers – eliminates overselling and makes buffers unnecessary. Pay attention to short sync intervals, clean item mapping, and robust error handling.
